Grievance Policy

The Heal Young Minds Conference is committed to conducting all continuing education activities in strict accordance with NBCC Continuing Education Provider standards. We strive to ensure fair treatment for all participants, uphold professional ethics, and provide a transparent process for resolving concerns or grievances related to any aspect of the conference experience.

Scope

This policy applies to all conference attendees, presenters, exhibitors, and staff participating in the Heal Young Minds Conference, whether the event is held in person or virtually.

Types of Grievances

Participants may file a grievance related to:

  • Administrative issues: Registration, payment, or refund concerns

  • Program content: Accuracy, relevance, or perceived bias in materials or presentations

  • Presenter or staff conduct: Professional behavior inconsistent with ethical or conference standards

  • Accessibility: Barriers preventing equitable participation

Grievance Procedure

Step 1: Informal Resolution

Whenever possible, participants are encouraged to address concerns informally by contacting the on-site registration desk or the conference coordinators (Kristen Jenson, Heidi Olson, or Melea Stephens) during the event. Many issues can be quickly resolved through open communication.

Step 2: Formal Written Grievance

If the concern cannot be resolved informally, participants may submit a written grievance within 30 days of the incident to:

The written grievance should include:

  • The complainant’s name and contact information

  • A clear description of the issue or concern

  • The date(s) and name(s) of person(s) involved

  • Steps already taken to resolve the matter

Step 3: Review and Resolution

The Grievance Committee will review the submitted grievance within 30 business days. The committee may contact the complainant for clarification or additional information.
Once reviewed, the committee will determine appropriate corrective action, which may include:

  • Modifying conference policies or procedures

  • Addressing concerns directly with the presenter or staff member

  • Issuing a credit for future conference associated with Heal Young Minds

The complainant will receive a written response within 30 business days of submission.

Notification to NBCC

In accordance with NBCC requirements, all formal grievances and the final determination made by the Grievance Committee will be forwarded to NBCC for review. NBCC may request additional documentation or follow-up. The Heal Young Minds Conference will fully cooperate with NBCC in any additional investigation or recommended corrective action.

Confidentiality

All grievances and related materials will be kept confidential to the fullest extent possible, consistent with the need to conduct a fair and thorough review.

Non-Retaliation Policy

No individual will experience retaliation or adverse treatment for submitting a grievance in good faith.
